Who We Are

Evergreen Medical Products Ltd. ("Evergreen," "we," "us") is an independently owned Canadian distributor of medical devices, based in British Columbia. We supply pressure surfaces, positioning products, and related equipment to long-term care facilities, healthcare professionals, and home medical equipment (HME) dealers across Canada.

This policy explains how we collect, use, share, and protect personal information through our website, evergreenmedicalproducts.com (the "Site"). We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (BC PIPA).

The Site does not sell products directly or process payments. Its purpose is to provide product information and clinical education resources intended for healthcare professionals, and to connect you with our team and our authorized dealer partners. What Personal Information We Collect

Information you give us through our forms. The Site offers four inquiry forms: Request a Quote, Book a Demo, Contact, and Request Clinical Education. Depending on the form, we collect: full name, email address, title or professional role, facility name and type, province, products of interest, your message, and (optionally) a phone number.

Newsletter signup. If you subscribe to our newsletter, we collect your email address. Subscriptions are processed through Mailchimp, our email marketing provider.

Technical information. Like most websites, the Site automatically collects limited technical data such as IP address, browser type, device type, and pages visited, through our hosting provider's server logs. The Site does not currently use third-party tracking or advertising cookies.

One exception applies to product complaints and incident reports: if you report a concern about the safety or performance of a device we distribute, we may need to collect and retain limited related information — which can include limited health information — to meet our complaint-handling, investigation, and reporting obligations under the Medical Devices Regulations made under Canada's Food and Drugs Act. That information is used only for those purposes and handled under our complaint-handling and recall procedures.

Why We Collect It

We collect and use personal information to:

  • Respond to your inquiries — quotes, demo bookings, general questions, and clinical education requests.
  • Connect you with the right dealer — quote and demo requests may be routed to the authorized Evergreen dealer partner best positioned to serve your region (see next section).
  • Provide clinical education for healthcare professionals — schedule in-services and webinars, and share professional educational resources you request.
  • Send our newsletter — with your consent (see the Newsletter section).
  • Operate and improve the Site — using aggregate technical data.

We collect personal information with your knowledge and consent, and we limit collection to what is reasonably needed for these purposes.

Who We Share It With

Authorized dealer partners. Evergreen products are sold primarily through authorized regional dealers. When you submit a Request a Quote or Book a Demo form, your inquiry may be handled directly by our team or shared — including your contact details and the information you provided — with the authorized Evergreen dealer partner in your region so they can fulfill your request. Our forms tell you this at the point of submission. We ask our dealer partners to use this information only to respond to your inquiry.

Service providers. We use trusted third-party providers to operate the Site and our communications:

  • Vercel (website hosting)
  • Sanity (website content management)
  • Mailchimp (newsletter and email marketing)
  • Resend (delivery of website form submissions to our team)
  • Google Workspace (business email)
  • Copper (customer relationship management)

These providers process personal information on our behalf under their own contractual and security obligations.

Legal requirements. We may disclose personal information where required or permitted by law — for example, to comply with a legal obligation or respond to a lawful request from a regulator such as Health Canada.

We do not sell personal information. We never sell, rent, or trade your personal information.

Processing Outside Canada

Our service providers, including those listed above, may store and process personal information in the United States or other jurisdictions outside Canada. While there, it is subject to the laws of those countries, which may allow access by local authorities. We choose reputable providers with strong privacy and security practices. Newsletter: Consent and Unsubscribing

Our newsletter goes out monthly, and you can unsubscribe anytime. In line with Canada's Anti-Spam Legislation (CASL):

  • We send commercial electronic messages only where we have your express consent (for example, newsletter signup) or implied consent under CASL, such as an existing business relationship with your organization.
  • Every email identifies Evergreen Medical Products as the sender and includes our contact information and mailing address.
  • Every email contains a functioning unsubscribe link. Unsubscribes take effect promptly — at most within 10 business days, as CASL requires.

You can also unsubscribe anytime by emailing contact@evergreenmedicalproducts.com. If you unsubscribe, we keep your email address on a suppression list so we don't email you again.

How Long We Keep Personal Information

We keep personal information only as long as reasonably needed for the purpose it was collected for — typically the duration of your inquiry or business relationship. After that, we keep it only as long as legal and regulatory obligations require — including distribution and complaint-handling records we must retain as a licensed medical device establishment under the Medical Devices Regulations made under Canada's Food and Drugs Act. When personal information is no longer needed, we securely delete or anonymize it.

How We Protect It

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. That includes access controls limiting who on our team can view inquiry data, and reputable service providers that encrypt data in transit. We work to protect personal information against loss, theft, and unauthorized access, use, or disclosure — though no method of transmission or storage is completely secure.

Your Rights

Under PIPEDA and BC PIPA, you have the right to:

  • Access the personal information we hold about you.
  • Correct personal information that is inaccurate or incomplete.
  • Withdraw consent to our use of your personal information, subject to legal or contractual restrictions and reasonable notice. If you withdraw consent, we may no longer be able to help with your request — we'll tell you what the impact would be at the time.
  • Ask questions or make a complaint about our privacy practices.

To exercise any of these rights, contact our Privacy Officer (details below). We will respond within 30 days, as required by law, or notify you if we need a permitted extension. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca) or the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca).

Cookies and Analytics

The Site does not currently use tracking cookies or third-party analytics services. Our hosting provider records limited, aggregated technical logs (such as page requests and response times) used only to operate and secure the Site. If we introduce an analytics tool in future, we will update this policy and, where required, provide a cookie notice and opt-out instructions.

Children

Although some of our products are designed for pediatric use, the Site is intended for healthcare professionals, facility staff, and business partners. It is not directed at children, and inquiries about pediatric products should be submitted by the treating clinician, facility, or an adult caregiver. We do not knowingly collect personal information from anyone under 19 (the age of majority in British Columbia).

Changes to This Policy

We may update this policy from time to time as our practices or legal requirements change. The "Last updated" date at the top of this page shows the current version. Material changes will be posted on this page.
